Approved family day homes and private dayhomes

Dayhome software for Alberta

NestliCare is free dayhome software for Alberta: check-in and check-out in Alberta local time, daily updates and messaging for parents, invoicing in Canadian dollars with Interac e-Transfer instructions on every invoice, year-end receipts for the T778 claim, and a monthly per-child attendance and enrolment export that agencies and subsidy claims ask for. Unlimited children, no paid plan, and the only cost is the standard processing fee when a parent pays online.

Built for a dayhome, not shrunk down from a centre

One provider, a handful of children, parents who pay by e-Transfer, and an agency or a claim that wants the month on one sheet. That is the shape NestliCare fits.

  • Check-in and check-out in Alberta local time, with a daily log parents see live
  • Monthly per-child attendance and enrolment export for agency and subsidy claims
  • Invoices in Canadian dollars with your e-Transfer address on every one
  • Pre-authorized debit and cards for families who pay online
  • Year-end receipts for the T778 claim, with your SIN or BN
  • Works for a single private dayhome or an agency with many homes

The month, on one sheet

Every check-in you record during the month becomes a line in the export: which days each child attended, which days they were absent, how many hours, their age group at month end, and their enrolment dates. If a child has a subsidy award, the funding body and case number sit on the same row. Download the CSV for the portal and the PDF for your file, filtered to one agency if you work with several. Attendance is only ever counted from a real check-in, so the sheet says what actually happened.

Dayhome software for Alberta, answered plainly

Is it for approved family day homes, private dayhomes, or both?
Both. A private dayhome uses it on its own. An approved family day home can use it alone or as part of its agency's organization, so the agency sees attendance across its homes and can pull one export for its claims.
What is in the monthly export for claims?
One row per child for the month: days attended, days absent, hours in care, enrolment status and dates, age in months and age group, room, and the subsidy award and case number if there is one. It downloads as a CSV for the portal and as a printable PDF, filtered by agency or funding body if you want. There is no direct integration with the claims portal; you upload or copy the file.
How are attendance days counted?
A day counts as attended when the child was checked in that day, in your local Alberta time. Absences are days you marked absent. Hours are check-out minus check-in, and any day missing a check-out is flagged so you can fix it before you submit.
Can parents pay by e-Transfer?
Yes. Your e-Transfer email or mobile number appears next to every unpaid invoice in the parent app and on the web. When it arrives you mark the invoice paid by e-Transfer, with no fee. Families who prefer to pay online can use pre-authorized debit or a card.
What does it cost?
Nothing for the software: unlimited children and no paid plan. Online payments carry the standard processing fee in Canadian dollars, 2.9% plus C$0.50 on cards or 1.5% capped at C$6.50 on pre-authorized debit, covered by the parent by default. e-Transfers, cash, and cheques cost nothing.
Can I give families a receipt for the child care expense deduction?
Yes. Each family downloads an annual childcare receipt for the T778 claim showing your legal name, address, the amounts paid, and your SIN if you are an individual provider or your Business Number if you are incorporated. A SIN is stored encrypted and printed only on the receipt.
Does it handle Mountain Time correctly?
Yes. Your organization has its own time zone, so check-in times, daily logs, invoices, and the monthly export all use Alberta local time rather than the server clock.
What else is included?
Daily reports with photos, meals, naps, and notes; parent messaging; enrolment and waitlists; documents and forms with e-signatures; staff scheduling and timesheets for dayhomes with an assistant; and full data export at any time. All of it is free.
